Invoicing Policy

Need an invoice for your company? No problem 🧾 Just know that we only issue invoices to businesses with a valid VAT number. Belgian invoicing rules are strict (and got even stricter in 2026), so please take two minutes to read this before you order. It saves everyone a lot of back-and-forth.

The short version

  • Businesses only: no valid VAT number, no invoice. We don't issue invoices to private individuals.
  • Best way: add your company name and VAT number at checkout. Your invoice is created automatically.
  • Forgot? Email us within 72 hours of your purchase.
  • Check your invoice PDF. Corrections are free within 14 days, then €5 per modification.
  • Hard stop on 31 December. After that, no new or corrected invoices for that year.
  • Refurbished cameras are sold under the VAT margin scheme: no deductible VAT.

1. The best way: fill in your details at checkout

When you order online, enter your business details in the billing section:

  • Your legal company name, exactly as registered
  • Your full billing address
  • Your VAT number (for example BE0123456789). This is required: it must be a valid, active VAT number, or we can't issue an invoice.

Your invoice is then issued in your company's name and sent to you automatically. Please double-check the spelling: what you type is what ends up on the invoice.

Buying in one of our shops? Tell the team you need an invoice before you pay, and give them the same details.

2. Forgot, or didn't receive it? You have 72 hours

If you didn't get your invoice email, or you realise after buying that you need one, email us at info@morifilmlab.com within 72 hours of your purchase with:

  • Your order number
  • Your legal company name and billing address
  • Your valid VAT number

After 72 hours we can no longer create a new invoice for that order.

3. Check your invoice: 14 days to correct it for free

After your purchase, you'll receive your invoice as a PDF by email, with a link to view it online. Please check it carefully: your name, VAT number and address must be correct before we submit it to the Peppol network.

  • Within 14 days of receiving the PDF: tell us about any error and we'll correct it free of charge.
  • After 14 days: a correction means cancelling and reissuing the invoice, which costs an administrative fee of €5 per modification.

Good to know: under Belgian law, an issued invoice can't simply be edited or deleted. To correct one, we have to cancel it with a credit note and issue a brand-new invoice, which is extra work for our team and our accountant.

4. The 31 December hard stop

Every year, our books close on 31 December. Purchases made during a calendar year can only be invoiced or corrected until 31 December of that same year, even if your 72-hour or 14-day window would normally run longer. After that date, we can't issue or correct invoices for that year at all, not even with the €5 fee.

Example: you buy a camera on 30 December. Your invoice request must reach us by 31 December, not 2 January.

Shopping for your business in late December? Fill in your company details at checkout and you're safe.

5. Belgian businesses: your invoice comes through Peppol

Since 1 January 2026, invoices between Belgian VAT-registered businesses must be structured electronic invoices sent through the Peppol network. A PDF in your inbox no longer counts as the official invoice.

So if your business has a Belgian VAT number, here's how it works:

  • You first receive a PDF copy by email so you can check your details (see section 3).
  • The official invoice is then sent through Peppol and lands in the Peppol inbox of your accounting or invoicing software.

Make sure your company is registered on Peppol (most accounting tools do this for you) and that the VAT number you give us is correct.

Business outside Belgium? The Peppol obligation doesn't apply to you, and you'll receive your invoice by email.

6. Refurbished cameras and the VAT margin scheme

Our refurbished cameras are second-hand goods, sold under the VAT margin scheme (régime particulier – biens d'occasion / bijzondere regeling – gebruikte goederen). This means:

  • VAT is only due on our margin, and it's already included in the price you see.
  • That VAT can't be deducted or recovered, also when you buy as a business.

New products and services, such as film, developing and scanning, prints, accessories and merch, are invoiced with standard Belgian VAT shown on the invoice.

7. No VAT number? No invoice

We only issue invoices to businesses (B2B). If you're buying as a private person, or your company doesn't have a valid VAT number, we can't issue an invoice, not even in your personal name.

That's not a problem for your purchase itself: just keep your order confirmation email. It's your proof of purchase, including for the 6-month warranty on our cameras.

Why so strict?

Invoices are numbered legal documents. They can't be backdated, and every late or changed invoice means reopening accounts and VAT returns that are already closed. We're a small team who'd much rather spend that time developing your film 🎞️ Thanks for helping us keep our books (and our accountant) happy!
